This policy explains how Pink Punters collects and uses personal information when you use our website, contact us, attend or enquire about events, complete a questionnaire, or choose to receive marketing.

Information We Collect

Depending on how you interact with us, we may collect your name and contact details, age or date of birth, location, event enquiries, correspondence, questionnaire answers, feedback, marketing consent choices, and technical information needed to operate and secure our website.

When you enter Be The First, we may record the page that referred you to the questionnaire and an invitation or campaign identifier associated with a Pink Punters CRM user. We remove credentials, query strings, and page fragments from the referring address before it is stored. A direct visit has no referring address.

We normally collect information directly from you when you use a form, contact us, or otherwise provide it to Pink Punters.

If we ask for information that is optional, we will identify it as optional. Where information is required, we will explain this on the relevant form.

How and Why We Use Information

We may use personal information to operate and secure our website, answer enquiries, administer events and related activities, understand our community and how people reach Be The First, conduct research, plan future events and venues, respond to feedback, maintain business records, meet legal obligations, and send marketing where permitted.

Our lawful bases depend on the purpose. They may include consent, taking steps at your request or performing a contract, compliance with a legal obligation, and our legitimate interests in running Pink Punters, understanding our community, improving our activities, responding to people, and keeping our services secure.

Where we rely on legitimate interests, we consider whether those interests are necessary and balanced against your rights. We do not use personal information for a new incompatible purpose without giving you appropriate information first.

Marketing

We send marketing only through channels you actively select. Consent is the lawful basis we rely on for this marketing. You do not have to agree to marketing to submit a questionnaire or make an enquiry.

You can withdraw marketing consent at any time by using an unsubscribe facility provided in a message or by emailing contact@pinkpunters.com. Withdrawal does not affect processing carried out before you withdrew consent.

We may retain a minimal suppression or withdrawal record where necessary to make sure somebody who has opted out is not accidentally contacted again.

Who We Share Information With

Authorised Pink Punters management and administration staff may access information where needed for their work.

We may use service providers acting on our instructions to host systems, maintain technology, store information, or process communications. We may also disclose information where required by law or where necessary to establish, exercise, or defend legal rights.

We do not sell personal information. We will update this policy before enabling a new communications integration that materially changes how information is processed.

Storage and Security

We use appropriate technical and organisational measures intended to protect personal information. Access is limited to people and providers who need it for an authorised purpose.

Be The First submissions are initially stored in the hosted EU Surveys database and imported into the secure internal Pink Punters CRM. Our intended retention process is for the public hosted copy to be retained for 30 days after the CRM acknowledges importing its latest version, and then deleted. This automated deletion process is not yet operational.

If a service provider processes information outside the UK, we will ensure an appropriate transfer mechanism is in place and provide further information on request. This statement does not mean that an international transfer currently occurs.

How Long We Keep Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security, and dispute requirements. The period depends on the type of information and why we hold it.

Be The First questionnaire and CRM information, including imported incomplete submissions, is normally kept for no more than 24 months unless a lawful reason requires a different period or you successfully ask us to delete it sooner. Minimal suppression records may be kept for longer where necessary to respect an opt-out.

Your Rights

Depending on the circumstances and our lawful basis, you may have rights to access your information, correct it, have it deleted, restrict its use, receive a portable copy, or object to processing.

You have the right to object to processing based on legitimate interests and to direct marketing.

Where processing is based on consent, you can withdraw that consent at any time. To exercise a right, email contact@pinkpunters.com. We may need to verify your identity before acting on a request.

Complaints and Updates

Please contact us first if you have a concern so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO). Visit the ICO complaints website for guidance.

We may update this policy when our activities or legal obligations change. The effective date and version at the top identify the current policy.
